Role profile


Reporting to: Adviser Support Supervisor
 
Purpose of the Role:
• To work closely with the Adviser Support Supervisor to assist the smooth running of the Client Services department and the business as a whole.
• To develop self to become a fully competent Business Administrator, taking responsibility for own learning and seeking assistance where required.
• To complete the Level 3 Business Administration certificate.

Specific Responsibilities

• Undertake general administration to support the Client Services department, ensuring documents are filed correctly in our online system.
• Update client information on our database, ensuring all data is recorded accurately.
• Answer and redirect incoming calls to the main BBT Group telephone lines.
• Meet and greet all visitors to the office.
• Scan all incoming post and distribute to relevant colleagues and departments.
• Prepare all outgoing mail, ready for collection by post office/couriers.
• Ad hoc project work and other duties as and when required.

The successful candidate will be able to:
• With guidance, learn how to manage own day to day activities efficiently and effectively.
• Communicate effectively at all levels with internal and external customers and suppliers.
• Maintain positive working relationships with BBT Group colleagues.
• Support and collaborate with other departments as required.
• Present a positive image of BBT Group in all dealings with colleagues, advisers, clients, product providers, suppliers and the public in general.
• Be willing to treat clients fairly, putting the client at the heart of everything, whilst adhering to FCA, Financial Crime and Data Protection legislation and regulations.

Skills and Qualifications

• Minimum 5 GCSE Passes – Grade 4 and above, including English and Maths. ICT or Computer Science preferred but not essential.
• Working knowledge of Microsoft Office products, specifically Excel, Word and Outlook.
• Organised and methodical approach to work.
• Eagerness to learn and pick up new skills quickly.
• Motivated, self-driven and conscientious.
• Comfortable working alone and as part of a team.
